Outward Bound Canada (“we” or “us”) is committed to respecting your privacy and protecting your personal information. “Personal information” means information relating to an identifiable individual. This Privacy Statement explains our current information management practices.

By visiting our website, applying to or registering in a course, supporting us as a volunteer or donor, or by otherwise interacting with us, you consent to the information handling practices described in this Privacy Statement.

What Information We Collect and Why
The personal information we collect, and what we do with it, depends on your relationship with Outward Bound Canada. The main groups of people with relationships to Outward Bound Canada are:

  • Participants and their parents/guardians (including applicants, or potential participants);
  • Supporters (both donors and volunteers);
  • Clients and partner organizations, such as schools and community groups;
  • Job applicants; and
  • People who interact with us online.

Participants and their Parents/Guardians
Who this applies to: This section applies to people who apply to or register in an Outward Bound Canada course, and those who are enrolling someone else on their behalf, such as a parent, guardian, or someone else who has the required legal authority to do so.

If you fall within this category, we typically only collect the information you provide us, such as when you apply to, register or participate in a course. We use your information to:

  • Communicate with you, including responding to any requests you may have;
  • Determine if you have a medical or psychological condition that may pose an increased risk to yourself or others, given the remote, wilderness context of many of our programs;
  • Assess and process your application;
  • Operate our courses and day-to-day operations;
  • Help us manage risk by ensuring that participants are placed on programs that meet their needs;
  • Process payments;
  • Improve and expand our organization and course offerings;
  • Build our Outward Bound Canada Alumni network;
  • Monitor usage of our website and other platforms and improve them;
  • Protect the property and rights of Outward Bound Canada and our stakeholders; and
  • Comply with legal requirements.

Our application forms collect a wide variety of information about you (or, depending on the situation, the person you’re applying for). This includes:

  • Biographical and contact information (e.g. your name, date of birth, address and email);
  • Demographic information (e.g. your gender, race, location, and whether you are Indigenous);
  • Educational information (e.g. your school or other educational institution);
  • Health information (e.g. allergies, dietary restrictions, health history, and relevant mental and physical conditions); and
  • Financial information (e.g. payment information, and – if relevant to a scholarship we’re offering – information about your economic status, such as your household income).

When you provide someone else’s personal information to us, you must have their consent or other legal authority to do so.

Because we are committed to diversity, we may also collect demographic information from you about the groups and communities with which you identify. This information can also help us track funding priorities and determine how we are serving underserved populations.

Supporters
Who this applies to: This section applies to people who support Outward Bound Canada as donors, community partners and volunteers.

As a supporter, we collect, use and disclose your information to facilitate and foster your support. This includes to:

  • Communicate with you and keep you updated on Outward Bound Canada;
  • Manage our relationship with you;
  • Recruit, train, manage and coordinate our team of supporters;
  • Plan and invite you to events;
  • Manage our day-to-day operations;
  • Process donation payments and issue tax receipts; and
  • Comply with legal requirements.

The types of information we will collect about you will depend on your exact role as a supporter. Generally, we will only collect information you provide us, such as contact, address and payment information.

For volunteers, we will use your personal information (such as your area of expertise, or past support you have provided us) to manage the volunteer relationship, including the recruitment and post-volunteer phases. We may also conduct background checks or vulnerable sector screening on volunteers that will have access to sensitive information.

Job Applicants
Who this applies to: This section applies to people who submit a job application to Outward Bound Canada.

If you are a job applicant, we collect, use and disclose your personal information to:

  • Recruit and make hiring decisions, such as ensuring you meet any job requirements;
  • Manage our employment relationship with you; and
  • Comply with legal requirements.

Because we are committed to diversity in our workplace, we may also collect demographic information from you about the groups and communities with which you identify, but this will be optional for applicants. We may rely on background and reference checks, including vulnerable sector screening, when making hiring decisions.

People Who Interact with us Online
Who this applies to: This section applies to people who visit our website, interact with us on social media, or who contact us with questions about Outward Bound Canada.

We collect the information you provide us or make available to us over social media. We use your information to:

  • Communicate with you, including responding to any requests you may have;
  • Improve and expand our course offerings and our organization;
  • Build and enhance our Outward Bound Canada Alumni network;
  • Monitor usage of our website and other platforms and improve them;
  • Protect the property and rights of Outward Bound Canada and our stakeholders; and
  • Comply with legal requirements.

How and When We Share Personal Information
We do not sell or lease your personal information to third parties.

We may share your information for two reasons.

The first reason is to operate Outward Bound Canada. We may share your information with businesses that assist us in managing our organization and providing our programs and services (these are called “service providers”). When we share information with service providers, we require them to commit to protecting your personal information in line with our own standards, and limit use and disclosure of the information to the specific purposes for which we supplied it.

The second reason is related to legal purposes. In rare circumstances, we may share your information about you if we reasonably believe that it is needed to:

  • Comply with any valid legal process, governmental request, or applicable law, rule, or regulation;
  • Respond to an emergency;
  • Investigate, remedy, or enforce a contravention of an agreement or law;
  • Protect the rights, property, and safety of us or someone else; or
  • Detect and resolve any fraud or security concerns.

Cookies and Web Analytics
Cookies
We use cookies on this website. Cookies are essentially small packages of data stored on your internet browser that tell us about your browsing behaviour. We use that information to monitor usage of our website and improve it. We may also use this information to improve our marketing.

You can manage and delete the cookies in your browser’s settings. Google Analytics
We use Google Analytics to better understand your use of our website. Google Analytics collects information on user behaviour on our website, which includes how many times a user visits our website, what pages they visit, and where they were referred from. Advertising identifiers for mobile devices (such as Android and iOS Advertising Identifiers) are also collected. Google uses this data to prepare reports on its activities, and share them with other Google services. Google may use the data collected to contextualize and personalize the ads of its own advertising network.

Facebook Pixel
We use Facebook Pixel cookies to better understand your use of our website. Facebook Pixel collects information on user behaviour on our website, which includes how many times a user visits our website, what pages they visit, and where they were referred from. Facebook uses the data collected through cookies to track and examine the use of the website, to prepare reports on its activities, and share them with other Facebook services. Advertising identifiers for mobile devices (such as Android and iOS Advertising Identifiers) are also collected. Facebook may provide us with information associated with your Facebook account, such as your likes, location and age. Facebook may use the data collected on the websites to contextualize and personalize the ads on its own advertising network. Do-Not-Track Requests
Because of the rapidly changing state of technology, we cannot make any guarantees that our systems will be able to honour Do-Not-Track requests sent by your browser.

Getting and Withdrawing Your Consent
We only collect information by lawful means. As part of courses and services or interacting with us, we may collect and process some details about you. When we do so, we will collect, use or share your personal information with your consent for the purposes identified or as otherwise permitted or required by law. In compliance with our privacy obligations, we may obtain your permission based on implied consent (including through this Privacy Statement) or through other means (such as express consent). However, in some situations, the law allows us to collect, use or disclose personal information without your consent.

You can withdraw your consent to the collection, use or disclosure of your information at any time. However, in some cases withdrawing consent will mean that we can no longer provide you with certain services or perform certain tasks where the information is required to do so. You can withdraw your consent by contacting the Privacy Officer and, subject to any legal constraints, we will comply with your request. See below for how to contact our Privacy Officer.

Children’s Privacy
We never seek to collect personal information about anyone under the age of 14 without the permission of a parent or guardian. If you believe we have collected such information, please contact us immediately (see ‘Contact Us’ below) and we will take appropriate actions to address the matter.

Security
Outward Bound Canada’s security practices are continually evolving to ensure that the integrity and confidentiality of information and systems are maintained. Outward Bound Canada uses up-to-date security safeguards to protect its networks and websites from unauthorized sharing of information and damage. Outward Bound Canada’s safeguards include the use of security software and encryption protocols and involve physical, technical and procedural controls to protect private information.

Outward Bound Canada staff and volunteers having access to personal information are required to respect the confidentiality of personal information and handle it responsibly.

International Transfer and Storage
Some of our service providers and business partners may be based outside of Canada. This means your information may be accessible to law enforcement authorities outside of your jurisdiction, in accordance with the laws of that jurisdiction.

Retention
We only keep your information as long as it is operationally or legally necessary. After that, we will either destroy or anonymize your information

Accessing and Correcting Your Information 
When requested in writing, we will inform you of the existence, use, and disclosure of your information that we maintain. We may not be able to provide you with all the information you request, depending on the circumstances, and there may be a charge for copies of your personal information. To access your personal information, submit a written a request that identifies yourself, the information you want to review and how we can contact you (see ‘Contact Us’ below).

We will make reasonable efforts to keep your information accurate and up-to-date. If a change or correction is required, let us know right away. We’ll make any appropriate updates needed. You can review your personal information by looking at the correspondence we send to you, or by requesting access to your personal information, as described above.

You may hear from us about other Outward Bound Canada programs and services that may interest and benefit you. If you do not wish to hear about other Outward Bound Canada programs, services or opportunities, you can unsubscribe using the link provided in the email received. This Privacy Statement only covers Outward Bound Canada’s own collecting and handling of data. We only work with partners, affiliates and third-party providers whose privacy policies align with ours, however we cannot accept responsibility or liability for their respective privacy practices.

Our website may link to external sites that are not operated by us. Please be aware that we have no control over the content and policies of those sites, and are not liable for their respective privacy practices.

Outward Bound Canada regularly reviews its policies and procedures. We may modify this Privacy Statement from time to time and will post the most current version online.
